How it works: cost of one meeting = the sum of (people × hourly pay) for every group × (length in minutes ÷ 60) × (1 + extra costs ÷ 100). The yearly figure multiplies that by 260 for every workday (52 weeks × 5 days), 52 for weekly, 26 for every two weeks and 12 for monthly meetings. For example, 4 people at 50 and 2 at 80 an hour cost 360 an hour, so a 45-minute meeting costs 270, and 14,040 a year if it is weekly. Enter all pay in the same currency.

"Extra costs on pay" is optional: use it to add things like employer taxes, benefits or overheads as a percentage, if you know them. Real costs differ with holidays, cancelled meetings, preparation time and how pay is set, so treat the result as a rough estimate for planning only, not financial or employment advice.
