01

Why most cold emails fail

  • They are about the sender, not the reader
  • They are too long
  • They ask for too much too soon
  • They are clearly sent to hundreds of people

A good cold email reads like it could only have been sent to one person.

02

Choose the right person

  • Someone who has the problem you solve
  • Someone who can say yes, or introduce you to who can
  • A short, focused list beats a huge one
03

Research with AI

Here is public information about [person] and [company]: [paste]. Summarise their likely priorities and challenges this quarter, and suggest one relevant, specific observation I could open with.

Use only public, professional information, and check it is accurate.

04

Write the subject line

  • Short: two to five words
  • Specific to them
  • No clickbait or fake “Re:”
Example
“Your onboarding videos”
05

Open with them

Your first line should show you did your homework: a recent post, launch, hire, or result.

06

Keep the body short

  • Name the problem you think they have
  • Show how you solve it, with one result or example
  • Keep the whole email under 120 words
07

Make one easy ask

Hard
“Can we book a 45-minute demo?”
Easy
“Worth a quick look? I can send a two-minute video.”
08

Draft with AI, edit as a human

Write a cold email under 100 words to [person], [role] at [company]. Open with this observation: [observation]. Problem: [problem]. Proof: [result]. End with one low-effort question. Plain, friendly language, no buzzwords.

  • Read it aloud; cut anything that sounds salesy
  • Make sure every claim is true
09

Follow up politely

  • Send two or three follow-ups, a few days apart
  • Add something new each time: an idea, an example, or a resource
  • Stop if they ask you to
10

Personalise at scale

  • Group prospects by industry or problem
  • Write one strong template per group
  • Personalise the first line for every email
  • Never send fully automated AI emails unchecked
11

Deliverability basics

  • Set up SPF, DKIM, and DMARC on your sending domain
  • Warm up new domains slowly
  • Keep volumes low and lists clean
  • Include an easy way to opt out
12

Follow the law

  • Follow laws such as CAN-SPAM in the US and GDPR in Europe
  • Use your real name and business address
  • Honour opt-outs quickly
  • Some countries need consent before marketing email; check yours

The golden rule

Do not use AI to send more cold emails. Use it to research better and write shorter, more personal ones, and make every claim and every follow-up honest.

  • Right person
  • Research
  • Subject
  • First line
  • Short body
  • Easy ask
  • Follow-up

Pick five ideal prospects, research them with AI, and write five personal emails this week.
